AI automation for restaurant groups and hotels

A six-location restaurant group in Germany or Austria gets supplier invoices as WhatsApp photos and emailed PDFs. Nobody compares each line with the agreed price, so supplier price creep goes unnoticed and recipe costs are months out of date by the time the menu is repriced. Restaurant food cost tracking extracts every line, maps it to ingredients, updates recipe costs and flags increases and substitutions, including the ones that change a dish's allergens under the EU's 14-allergen rules.

Hotels and short-term rental operators carry a compliance load restaurants do not. Guest identity data has to be reported to the authorities, through SES.Hospedajes in Spain or Alloggiati Web in Italy, tourist taxes differ by city, and the EU Short-Term Rental Regulation adds registration numbers to listings. Guest registration collects the data before arrival, reads the passport's machine-readable zone and files it within the legal deadline, with the front desk handling failures.

Guest messaging is the part I would buy, not build. Canary, which raised $80M in June 2025, HiJiffy, Duve, Guesty's ReplyAI and Hostaway's AI already answer guests well, and Hostaway's 2026 report found 61% of rental operators used AI in 2025. The custom work sits behind the conversation: review operations that turn reviews into a per-location issue list, and support across several PMSs and languages.

What eats margin in kitchens and front offices

  • Units that do not match the recipe

    A case of 6 x 2.5 kg, a crate priced per piece, a credit note for a short delivery: mapping supplier lines to recipe units is where food-cost spreadsheets go wrong, and where checks in code catch it.

  • Allergens after a substitution

    When a supplier substitutes a product, the 14-allergen matrix for every affected dish has to be recomputed and menus, website and delivery listings updated. The chef signs off before anything changes.

  • OTA payouts that do not reconcile

    Airbnb, Booking.com and Vrbo payouts rarely map one to one to reservations and bank deposits. Matching them and explaining the gaps, from resolution-center adjustments to commission errors, turns owner statements into a review instead of a monthly ordeal.

  • Group and event inquiries

    Catering, group and MICE requests are the highest-value orders and the slowest to answer. Qualifying them, checking capacity in OPERA or Mews and drafting the proposal leaves the sales manager to set the rate.

What I would not automate in a restaurant or hotel

  • Phone ordering and reservation bots

    Restaurant voice AI is a crowded, well-funded market, and TheFork, SevenRooms and Zenchef handle reservations. I would not build either from scratch.

  • Compensation in review replies

    Replies are drafted in the reviewer's language and the brand's voice, but refunds, vouchers and any admission of liability need a manager's approval. Hygiene, safety and discrimination complaints go straight to a person.

  • Failed ID checks

    Minors, groups and documents that fail validation go to the front desk. Guest data is kept only as long as the law requires, and every submission is idempotent, so a retry never files a guest twice.

  • The final rota

    A rota can be drafted in Planday or Deputy from the POS forecast within working-time rules, but a manager approves it. People's hours are not a model's call.

Can AI track food costs from supplier invoices?

Yes. It reads invoices from photos, PDFs or supplier platforms, extracts each line, converts units, maps items to your ingredients and compares prices with what you agreed. Recipe and menu costs update, and price increases or substitutions are flagged, with allergen-relevant changes sent to the chef. MarginEdge, Restaurant365 and Nory do this well in the US and UK; custom fits multi-country European groups on DATEV or mixed POS systems.

Can guest registration and police reporting be automated for hotels and holiday rentals?

Largely, yes. Guests submit ID data through a pre-arrival link, the system reads the machine-readable zone of the passport or ID card, validates it and files it with the national system through its interface, or through a supervised browser step where there is none. Chekin and Partee cover single-country setups well; groups across several countries and PMSs are where a custom build pays.

Should a hotel build its own AI guest messaging?

Usually not. Canary, HiJiffy, Duve and the AI features in Guesty and Hostaway are good at answering guests and upselling. A custom layer makes sense for groups on several PMSs, for owner-specific rules in rental management, or when the value lies behind the conversation, in registration, payouts and reviews, rather than in the chat itself.
