AI automation for property managers and real estate firms
A property manager with 1,800 units and four staff hears about one leak by phone, email, the tenant portal and WhatsApp, often from three tenants at once. Someone asks for photos, works out whether the tenant, the landlord or, in Germany and Austria, the owners' association is responsible, calls a plumber within the contract limits and chases until the job is closed. A maintenance triage agent does that intake and dispatch, with an emergency path for gas, water and heating that reaches a person immediately.
In US multifamily this is a solved market: EliseAI raised $250M at a $2.2B valuation in August 2025 and says it reaches one in eight US apartments. European residential management has no equivalent. German managers run Aareon, Domus, Karthago or immoware24, often with limited APIs, and they are short of people: VDIV, the German property managers' association, reports that 70% of property managers worry about hiring.
On the commercial and letting side, the documents are the work. A portfolio purchase brings hundreds of leases whose break dates and indexation clauses must be found before they pass, which lease abstraction handles with a lawyer checking the key clauses. Letting teams receive payslips and bank statements that may have been edited, and document fraud checks test them against independent data rather than a model's opinion.
What I would build for real estate and property
Catching edited bank statements, payslips and invoices before they cost you money
Cross-checks uploaded statements, payslips and invoices against bank data, VAT records and the file's own structure, then puts the evidence in front of a reviewer.
Upload portal / Open banking provider / EU VIES / KYC provider (Onfido, IDnow or similar) / CRM or loan system
Commercial leases turned into key dates and clauses, with a lawyer checking the ones that matter
Turns a portfolio of commercial leases and their amendments into cited abstracts and computed deadlines in Yardi or MRI, with a lawyer confirming breaks and options.
SharePoint / Yardi Voyager or MRI / Excel / Critical-dates calendar / Index publishers (Destatis, CBS, ONS)
Maintenance requests triaged, dispatched and chased, with a real emergency path
Takes tenant repair requests on any channel, wakes the on-call person only for real emergencies, and dispatches and chases contractors for everything else.
WhatsApp Business Platform / Property management system / Outlook / Contractor scheduling / Twilio voice and SMS
Beyond repairs, the paperwork that fills a property manager's year
Service-charge season
The annual service-charge statement brings a wave of tenant objections. Explaining each line from the underlying invoices, in plain language and the tenant's language, and flagging genuine errors for correction turns weeks of letters into a review queue.
Owners' association meetings
Agendas, draft resolutions and minutes for owners' association meetings are prepared from open issues and the meeting recording. The administrator signs the minutes, and follow-up tasks get owners and deadlines.
Contractor invoices by property
Each contractor invoice is matched to its work order and property and coded to the cost category that decides whether it lands in the service-charge statement, then routed for approval.
Seller dossiers in Germany and Austria
Land-register extracts, declarations of division, energy certificates and association minutes take days to collect before a listing can go live. Extracting reserves, planned works and disputes into one dossier lets agents answer buyer questions from facts.
What the agent is never allowed to decide
Whether an emergency can wait
Water coming through a ceiling, no heating in January or a smell of gas triggers the building's emergency plan in code: safety instructions to the tenant, the caretaker or on-call manager, and the contracted emergency vendor. The model recognizes the situation; it never decides to wait.
Spending the owner's money
Orders above the contract limit, disputes about who pays and anything touching liability go to a person. The agent gathers photos and quotes; it does not commit the owner.
Choosing the tenant
Document checks produce flags with evidence, and the letting manager chooses between applicants. The model never ranks people for a flat: equal-treatment law applies to lettings, and a flag alone never turns anyone down.
Which lease deadline applies
Break options and notice periods are computed in code from the abstracted clauses, and a lawyer or asset manager confirms the ones that matter. A model's reading of a conditional break clause is a draft.
Software these builds usually connect to
The systems do not get replaced. The build sits across them, reads from them through their APIs, and writes results back.

Frequently asked questions
Is there an AI agent for property management in Europe?
Not like the US ones. EliseAI and AppFolio's AI are built for US multifamily and US systems. In Germany, Austria and the Netherlands, managers run Aareon, Domus, Karthago, immoware24 or Casavi, deal with owners' associations and get tenant messages on WhatsApp in several languages. Casavi and Fixflo cover portals and repair reporting; an agent that works across the PMS, WhatsApp and your vendor contracts is usually a custom build.
Can AI handle tenant maintenance requests on WhatsApp?
Yes, within limits. It can collect photos and details, ask the follow-up questions a coordinator would, classify urgency and responsibility, create the work order and keep the tenant updated. It must say that it is an AI, merge duplicate reports of the same leak, and hand emergencies and cost decisions to a person at once. WhatsApp's rules allow this kind of service bot, with a clear route to a human.
Can AI read commercial leases reliably?
Well enough to produce a structured abstract with a page and clause citation for every term, which is what makes review fast. The reliability comes from the process around it: side letters and amendments are applied in order, dates are computed in code, unusual clauses are flagged, and a lawyer or asset manager confirms the key terms before they drive a deadline.
Can AI answer tenant objections to the service-charge statement?
It can draft the answers, which is most of the work in objection season. Each line of the statement is traced to the underlying invoices and the allocation key, explained in plain language and in the tenant's language, and genuine errors are flagged for correction rather than defended. The property manager approves every reply. The real estate automation guide covers related workflows.
